1.Who we are

Clarity Log is a private documentation and record-keeping application designed to help users record important interactions, events, agreements and related information in an organised timeline.

For UK data-protection purposes, the organisation responsible for your personal data is: Clarity-Log. Postal address available on request via info@clarity-log.com.

In this Privacy Policy, "Clarity Log", "we", "us" and "our" refer to the organisation operating the service.

2.What this Privacy Policy covers

This Privacy Policy explains what personal information we collect, how we use it, how long we keep it, when we may share it, how we protect it, and the rights available to you.

It applies to the Clarity Log website, web application and any mobile application or related service that links to this Privacy Policy.

3.Information we collect

3.1 Account information — When you create or use a Clarity Log account, we may collect: your name or display name (if provided), email address and account credentials or authentication information, subscription and account-status information, and information needed to provide customer support.

3.2 Records and content you create — Clarity Log is designed to allow you to create records. Depending on the features you use, these records may include dates and times of events or interactions, titles and descriptions of events, names or other details about people you choose to record, relationship or category information, interaction types, importance or categorisation information, private notes or reflections, and tags, searches, filters and other organisational information.

3.3 Attachments — If you choose to upload material to Clarity Log, we may process files such as screenshots, photographs, documents and PDFs. These files may contain personal information about you or other people. You should only upload information that you are entitled to store and use.

3.4 Technical and usage information — We may collect limited technical information needed to operate, secure and improve the service, such as device type, browser or operating-system information, IP address, log information, approximate usage information and information about errors or performance.

3.5 Payment and subscription information — If you purchase a subscription, payment information may be processed by the payment provider or app-store platform used for the transaction. We may receive information such as subscription status, transaction identifier, product purchased and renewal or expiry information. We do not intend to store full payment-card numbers unless expressly stated otherwise.

4.Information about other people

Clarity Log allows you to record information about people who may not have a Clarity Log account. This could include names, relationship descriptions, communications or other information you choose to include in a record.

You are responsible for ensuring that your use of Clarity Log is lawful and appropriate, including when you enter information about another person. You should avoid entering unnecessary sensitive information about other people and should not use Clarity Log to harass, threaten, stalk or unlawfully monitor another person.

5.How we use personal information

We may use personal information to: create and maintain your Clarity Log account; store and display your records and attachments at your direction; provide search, filtering, calendar, people and reporting features; provide Clarity Assist or other optional AI-supported features, where enabled; process subscriptions and manage access to paid features; provide customer support and respond to enquiries; maintain, secure and troubleshoot the service; detect, prevent and investigate fraud, abuse, security incidents and misuse; comply with legal and regulatory obligations; and improve the reliability and performance of Clarity Log.

6.Lawful bases for processing

Under UK data-protection law, we will rely on one or more lawful bases depending on the processing activity. The applicable basis may include:

Contract: where processing is necessary to provide the Clarity Log service you have requested.

Legitimate interests: where processing is necessary for purposes such as security, service administration, fraud prevention, support and improving the service, provided those interests are not overridden by your rights.

Consent: where we specifically ask for your consent, such as for certain optional communications or optional processing where consent is required.

Legal obligation: where processing is necessary for us to comply with a legal or regulatory requirement.

7.Clarity Assist and AI processing

Clarity Log may provide an optional feature called "Clarity Assist" or a similar AI-supported feature. This feature may analyse text you choose to submit in order to suggest clearer, more neutral or more structured wording.

AI suggestions are generated from information you choose to submit. The original record should remain available and should not be silently overwritten by an AI suggestion. AI output is a suggestion only and may be inaccurate. You remain responsible for reviewing it before using or sharing it.

Clarity Assist does not provide legal advice, legal representation, psychological assessment or a guarantee that a record is accurate or legally admissible.

8.Reports and exports

Clarity Log may allow you to generate reports or export records. Reports are generated from information you choose to include. You are responsible for reviewing a report before sharing it with another person or organisation.

A report generated by Clarity Log is a user-created record and does not constitute legal advice, legal representation, verification of facts or a guarantee of legal admissibility.

9.Who we share information with

We do not sell your personal records to advertisers. We may share or make personal information available to service providers where reasonably necessary to operate Clarity Log.

Depending on the services actually used, these categories may include: cloud hosting and database providers; authentication providers; file storage providers; AI/technology providers used for optional AI features; payment processors and app-store platforms; analytics, error-reporting or performance providers, if enabled; and professional advisers or authorities where disclosure is required by law or reasonably necessary to protect rights, safety or the service.

10.International data transfers

Some service providers may process personal information outside the United Kingdom. Where this occurs, we will take steps required by applicable data-protection law to ensure that appropriate safeguards are in place.

11.Data retention

We retain your account information and records for as long as reasonably necessary to provide the service, maintain your account, comply with legal obligations, resolve disputes and enforce agreements.

Where you delete records or your account, we will take reasonable steps to delete or anonymise the relevant information, subject to information we are legally required or legitimately permitted to retain.

12.Data security

We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, alteration, disclosure, loss or destruction.

However, no internet-based service can guarantee absolute security. You should use a strong, unique password and protect your account credentials.

If you believe your account has been compromised or that personal information has been accessed improperly, contact us promptly using the details below.

13.Your data-protection rights

Subject to applicable law and the circumstances of the processing, you may have rights including: the right to be informed about how your personal data is used; the right to request access to personal data we hold about you; the right to request correction of inaccurate or incomplete information; the right to request deletion of personal data in certain circumstances; the right to request restriction of processing in certain circumstances; the right to object to certain processing; the right to data portability in circumstances where it applies; and the right to withdraw consent where we rely on consent.

These rights are not absolute and may be subject to legal exceptions. We may need to verify your identity before processing a request.

14.How to exercise your rights

To make a privacy request, contact: info@clarity-log.com. Please describe your request clearly and provide enough information for us to identify your account. We will respond within the timeframe required by applicable data-protection law.

15.Complaints

If you have concerns about how we handle your personal information, please contact us first so that we can try to resolve the issue.

You also have the right to complain to the UK Information Commissioner's Office (ICO), the UK's independent supervisory authority for data protection. ICO website: https://ico.org.uk/ — ICO helpline: 0303 123 1113.

16.Cookies and similar technologies

Clarity Log may use cookies or similar technologies that are necessary for authentication, security and operation of the service. If optional analytics, advertising or other non-essential technologies are used, we will provide appropriate information and obtain consent where required.

17.Children's privacy

Clarity Log is not intended to be used by children without appropriate involvement and permission from a parent or guardian where required by law. We do not knowingly collect personal information from children contrary to applicable law.

18.Account deletion

Where the service provides an account-deletion function, you may request deletion through the relevant account settings. You may also contact us using the privacy contact details above.

Deletion may not remove information that we are required or permitted to retain for legal, security, fraud-prevention, accounting or dispute-resolution purposes.

19.Third-party links and services

Clarity Log may contain links to third-party websites or services. We are not responsible for the privacy practices of third parties that operate independently from us. Review the relevant third party's privacy policy before providing information to them.

20.Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to Clarity Log, our processing activities, legal requirements or service providers.

When changes are material, we will take reasonable steps to bring them to users' attention. The "Last updated" date at the top of this policy will show when the policy was most recently revised.
